Managing multiple Vinted accounts without a spreadsheet: the complete guide
From two accounts upwards, the hard part is no longer selling: it is knowing where every listing stands. This guide gives a simple, spreadsheet-free method for keeping stock, listings and sales in one place.

Why the spreadsheet breaks at two accounts
One Vinted account means one inbox. Three accounts mean three inboxes, three notification threads and a spreadsheet trying to hold them together. At first it works. After a few dozen listings, the spreadsheet becomes a copy of reality: it needs updating after every sale, label and payout.
The real cost is not the spreadsheet itself. It is the time spent retyping a status, hunting for a label in a thread, checking whether a listing is still live, or wondering whether a payout was already counted.
- Orders arrive in one inbox per account, not in one view.
- Statuses are copied by hand, often late.
- Labels live in emails, not in a tracker.
- Payouts are matched by feel, rarely to the cent.
What to centralise (and what can stay on Vinted)
Centralising does not mean moving the whole sale. Vinted remains the marketplace: discovery, buyer messages and the transaction happen there. What should leave your memory is intent and tracking.
The product record is the right starting point: title, description, photos, price, cost, account, status. It is the single source of truth for the listing. The sale, label and payout then attach to it.
- Product: photos, text, price, cost, account, code.
- Listing: draft, published, removed, sold.
- Sale: sold, label created, dropped off, delivered, completed.
- Label: to print, printed, dropped off.
- Payout: expected, received, withdrawn.
The method in five steps
This works with a spreadsheet, a dedicated tool, or both. The important part is choosing one source of truth and never copying the same status twice.
- One account, one dedicated email address. Forward each account's Vinted notifications to its own address. Your usual inbox stays readable.
- One short code per product. Four characters at the end of the title are enough to link a listing to its sale, without relying on an exact title.
- One record per product. Photos, price, cost, account, status: the record replaces the spreadsheet row.
- Publish from the record. Vinted's form is filled from the record; you no longer retype the title or description.
- Follow the emails, not the tabs. Sold, label, drop-off, delivery, dispute, payout: each email updates the record.
Relisting without duplicates
A listing that does not sell is not dead: it is badly categorised, badly photographed or simply buried. Relisting means starting again with new text and a new cover, without losing the product history.
Watch the old listing. If it stays live, it can sell twice. After a relist, check which listings are still active and remove the ones you no longer need.
- Find products live for seven days or more without a sale.
- Rewrite the title and description with the same facts, without copying the old text.
- Change the cover: it is often what restarts the click.
- Keep an eye on the old listing, then remove it if it is still live.
The mistakes that cost money
Most mistakes come from switching accounts or forgetting a status, not from a missing tool. They are easy to avoid when the record is the only source of truth.
- Publishing on the wrong account because a profile was still open.
- Losing the product code and no longer linking the sale to the record.
- Printing the same label sheet twice.
- Counting a payout already withdrawn, or forgetting one still pending.
- Leaving a dispute unanswered because it was buried in emails.
- Copying a price across platforms without checking the fees.
What Vintops does in all this
Vintops applies this method in one tool. One photo is enough to create the record: title, description, category, size, condition and colours are prepared, and the listing can be published on the chosen account. You keep control of the price and the review.
Vinted's emails then update the record: sale, label, drop-off, delivery, dispute, payout. Labels are grouped on a sheet ready to print, and payouts are read per account.
Vintops is independent from Vinted. Access is invite-only during the alpha, and the tool replaces neither the marketplace nor your decisions.
